RECRUIT ONBOARDING
A platform to ease the onboarding experience of a company's new recruits
OVERVIEW
A midsize tech company recruits around 100-200 candidates per year through a 2-week onboarding process.
The new recruits are onboarded by completing various tasks such as updating their profile, uploading documents, and more. The recruitment staff (HR, IT and L&D departments) makes sure that recruits complete their tasks properly and on time.
PAIN POINTS
Quite often, recruits don't know what's going on and the recruitment staff have trouble keeping track of every recruit.
There was no proper system put in place to conduct the onboarding process, other than some outdated internal tools for the recruitment staff. Recruits aren't sure of what their onboarding tasks are or who to contact for help. The recruitment staff have to reach out to individual recruits by email or phone to help them initiate and complete their onboarding. With the amount of new recruits coming in, this quickly becomes problematic.
RESEARCH
We interviewed both new and old employees to understand how their onboarding process went and what they would've liked to see or find easily at the time.
We narrowed down to five main pieces of information that needed to be shown during onboarding, as shown below. Recruits also stressed that clear indications of progress were very important as they wish to be kept aware of exactly where they are in the onboarding process.
SOLUTION FOR RECRUITS
A unified onboarding platform for recruits to have everything they need in one place.
In addition to tasks, recruits can also do other things like manage their company assets and send in referrals.
SOLUTION FOR THE STAFF
A recruit management platform to oversee all recruits' onboarding.
The recruitment staff can manage recruits' profiles, respond to queries, allocate assets, customize onboarding content and more.
REFLECTION
This was one of my first big projects. Although this platform hasn't been fully implemented yet, there was a lot to learn from the process.
New challenges and unfamiliar design patterns were things I regularly tackled. Working with cross-functional teams and interviewing all kinds of users gave me clarity on how to handled feedback at various stages of the project. As our talented developers brought it all together, seeing my designs come to life was incredibly gratifying and gave me newfound confidence to take on future projects.
