WORKFORCE MANAGEMENT
An app to manage employees and their shifts
OVERVIEW
In this project, we created the mobile version of an existing workforce management web portal, to make it easier for users to manage shifts, workers and timesheets on the go.
Across the country, there are various establishments who provide essential goods and services (food products, bakeries, furnishing, public services and more). The user is a manager who is assigned a set of these establishments. Their job is to manage shifts at the establishments' work sites, using a pool of candidates who may be eligible to work at these sites. The goal of this project was to adapt functionalities in the web portal to a smartphone app, as much as possible.
USER FLOWS
To understand the overall structure of the web portal, we mapped out the user flows in detail. However, not all of them were chosen to be adapted to the app.
Throughout the mapping process, we were in constant discussion with the client and their end users to decide which user flows and features should be adapted for the app and which ones will remain restricted to the web portal. These discussions revealed the psychological aspect of users being more confident and comfortable with using certain features in a desktop environment, rather than a smartphone's compact screen space. In the end, we decided on adapting three main modules and their most important user flows for the app: Scheduler, Time Tracker and Leaves.
FINAL DESIGN
Scheduler
Shifts are managed in the scheduler. Users can go through dates to view various shifts, create new shifts and see who's available to work.
View all shifts for the day at a selected establishment & add new ones as open to anyone or pre-assigned.
Shifts come in different types.
Time Tracker
Timesheets submitted by candidates when starting their shifts are accumulated here as "time entries" for the user to monitor and approve. Users can also manually create time entries if needed.

Leaves
Leaves can be tracked in a list view and a calendar view. They are categorized into pending and previously actioned.

OUTCOME
After launching the app, the workforce management platform’s usage has grown significantly. The app consistently achieved the following month-over-month growth rates:

The final product was met with high praise by the stakeholders, who highlighted that the onboarding and training sessions planned for the app's launch were cut short, as their internal users were able to jump right in without requiring much assistance. The app continues to be improved with various quality-of-life improvements.
